1. Acceptance of Terms
By creating an account, clicking "Get Started," or otherwise accessing or using the EkamSphere platform (the "Service") provided by EkamSphere Innovations ("Company," "we," "our," or "us"), you ("User" or "you") confirm that you have read, understood, and agree to be bound by these Terms of Service ("Terms"), our Privacy Policy, and all applicable laws and regulations.
If you are using the Service on behalf of a company or other legal entity, you represent that you have the authority to bind that entity to these Terms, and all references to "you" shall refer to that entity.
2. Description of Service
EkamSphere is a unified meeting and communication platform that aggregates multiple third-party meeting providers — including Google Meet, Zoom, Microsoft Teams, Cisco Webex, and Zoho Meeting — into a single dashboard. The Service enables users to:
- View and manage meetings and calendar events across connected providers
- Schedule, update, and cancel meetings via provider APIs
- Read and send messages within connected provider workspaces (where supported)
- Receive real-time notifications and meeting reminders
- Access AI-generated meeting summaries and reports
- Collaborate with workspace members within the EkamSphere platform
We reserve the right to modify, suspend, or discontinue any part of the Service at any time with reasonable notice where practicable.
3. User Accounts
3.1 Registration
To use EkamSphere, you must register for an account by providing a valid email address and creating a secure password. You must verify your email address before accessing the full functionality of the Service.
3.2 Account Security
You are responsible for maintaining the confidentiality of your account credentials and for all activities that occur under your account. You agree to:
- Provide accurate, current, and complete registration information
- Maintain and promptly update your information to keep it accurate
- Notify us immediately at legal@ekamsphere.com of any unauthorized use of your account
- Never share your password with any third party
- Log out of your account at the end of each session on shared devices
3.3 Workspaces
Upon registration, a personal workspace is automatically created for you. Workspace owners may invite additional members and assign roles (Owner, Admin, Member, Viewer). Workspace owners are responsible for ensuring that all workspace members comply with these Terms.
4. Acceptable Use
You agree not to use the Service to:
- Violate any applicable local, state, national, or international law or regulation
- Infringe the intellectual property rights of any party
- Transmit any material that is harassing, defamatory, obscene, or otherwise objectionable
- Impersonate any person or entity or misrepresent your affiliation with any person or entity
- Attempt to gain unauthorized access to any portion of the Service or any other systems or networks
- Engage in any automated use of the Service (bots, scrapers) without our express written consent
- Reverse engineer, decompile, or disassemble any part of the Service
- Interfere with or disrupt the integrity or performance of the Service
- Circumvent any technical measures we use to limit or control access
- Upload or transmit viruses, malware, or any other malicious code
- Conduct unauthorized vulnerability testing or penetration testing on the platform
- Use the Service for any commercial purpose not expressly permitted by us in writing
5. Third-Party Integrations
The Service integrates with third-party platforms including Google (Google Calendar / Meet), Zoom, Microsoft (Teams / Outlook), Cisco Webex, and Zoho. Your use of these integrations is subject to the respective third-party terms of service and privacy policies:

We are not responsible for the availability, accuracy, content, products, or services of third-party providers. Enabling an integration does not imply endorsement of the third party.
6. OAuth Authorizations & Data Access
6.1 OAuth Permissions
When you connect a third-party provider, you authorize EkamSphere to access your data on that platform using OAuth 2.0. We request only the minimum permissions necessary ("least privilege") to deliver the integration features you enable. The specific scopes requested for each provider are disclosed at the time of connection.
6.2 Token Storage
OAuth access tokens and refresh tokens are encrypted at rest using AES-256-GCM encryption. Tokens are never stored in plaintext and are never exposed to your browser. Token refresh is handled automatically by our backend to maintain uninterrupted access.
6.3 Revoking Access
You may revoke EkamSphere's access to any connected provider at any time from the Integrations page within your dashboard, or directly through the respective provider's account security settings. Upon revocation, we will delete the associated tokens from our systems promptly.
6.4 Data Synced
We sync and store the following data from connected providers:
- Calendar events: title, start/end times, location, description, attendees, and conferencing links
- Meeting metadata: meeting ID, join URL, host, participants (names/emails as returned by the provider API)
- Provider chat messages (Zoom Team Chat, Webex Spaces): message content, sender, timestamp — synced periodically and on-demand
We do not access, read, or store audio, video, or screen-share content from any meeting.
7. Intellectual Property
7.1 Our IP
The Service and its original content (excluding your data), features, and functionality are and will remain the exclusive property of EkamSphere Innovations and its licensors. Our trademarks, service marks, and logos may not be used without our prior written permission.
7.2 Your Data
You retain full ownership of all data you provide to the Service or that is synced on your behalf from connected providers. By using the Service, you grant us a limited, non-exclusive, royalty-free license to process, store, and transmit your data solely as necessary to provide and improve the Service.
7.3 Feedback
Any feedback, suggestions, or ideas you provide about the Service may be used by us without restriction or compensation to you.
8. Privacy
Our collection and use of personal information is governed by our Privacy Policy, which is incorporated into these Terms by reference. Please review our Privacy Policy to understand our practices. By using the Service, you consent to our data practices as described in that policy.
9. Disclaimers
THE SERVICE IS PROVIDED ON AN "AS IS" AND "AS AVAILABLE" BASIS WITHOUT WARRANTIES OF ANY KIND, EITHER EXPRESS OR IMPLIED, INCLUDING BUT NOT LIMITED TO WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, OR UNINTERRUPTED, ERROR-FREE OPERATION.
We do not warrant that the Service will meet your specific requirements, that it will be uninterrupted, timely, secure, or error-free, or that any defects will be corrected. We are not responsible for the actions or availability of any third-party provider integrated with the platform.
10. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, IN NO EVENT SHALL EKAMSPHERE INNOVATIONS, ITS OFFICERS, DIRECTORS, EMPLOYEES, AGENTS, OR AFFILIATES BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING WITHOUT LIMITATION LOSS OF PROFITS, DATA, USE, GOODWILL, OR OTHER INTANGIBLE LOSSES, RESULTING FROM:
- Your access to or use of (or inability to access or use) the Service
- Any conduct or content of any third party on the Service
- Any content obtained from the Service or connected providers
- Unauthorized access, use, or alteration of your transmissions or content
IN ANY CASE, OUR AGGREGATE LIABILITY SHALL NOT EXCEED THE GREATER OF (A) THE AMOUNT YOU PAID TO US IN THE TWELVE (12) MONTHS PRECEDING THE CLAIM, OR (B) ONE HUNDRED US DOLLARS (USD $100).
11. Indemnification
You agree to indemnify, defend, and hold harmless EkamSphere Innovations, its affiliates, officers, directors, employees, and agents from and against any claims, liabilities, damages, judgments, awards, losses, costs, expenses, or fees (including reasonable attorneys' fees) arising out of or relating to your violation of these Terms or your use of the Service, including your use of third-party integrations, your User Content, or your violation of any third party's rights.
12. Termination
We may terminate or suspend your account and access to the Service immediately, without prior notice or liability, for any reason, including if you breach these Terms. Upon termination:
- Your right to use the Service will immediately cease
- We will revoke all OAuth tokens for your connected providers
- You may request deletion of your personal data by contacting us at legal@ekamsphere.com
- Provisions of these Terms that by their nature should survive termination shall survive
You may terminate your account at any time by contacting us or using the account deletion feature in your profile settings.
13. Changes to Terms
We reserve the right to modify these Terms at any time. When we make material changes, we will notify you by email (to the address associated with your account) and/or by posting a prominent notice on the Service at least 14 days before the changes take effect.
Your continued use of the Service after the revised Terms become effective constitutes your acceptance of the new Terms. If you do not agree to the new Terms, you must stop using the Service and may delete your account.
14. Governing Law
These Terms shall be governed by and construed in accordance with the laws of India, without regard to its conflict of law provisions. Any disputes arising under or in connection with these Terms shall be subject to the exclusive jurisdiction of the courts located in India.
If any provision of these Terms is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary so that the Terms will otherwise remain in full force and effect.
